We can assist with all your catering needs – from drop off boxed lunches to buffet stations, custom menus to happy hour events. We are a full-service catering company that can service all food and beverage needs for your meetings and events.

MERF (Meeting Events Request Form) 

To book spaces, audio visual, security, reception and/or tables/equipment for your event, GREF Meetings & Events are here to assist. Please complete this form by opening the Meeting Request Form link Meetings & Events Portal

Drop Off Only/Express Menu: Drop off orders provide you with convenience for simple orders. We deliver directly to your meeting room and take care of set-up and clean up after the event. 

Staffed Events: All staff events will include $45.00 per hour/per staff fee, with a four (4) hour minimum call. Plated meals and events with china service may incur additional costs for setup and breakdown.

All you do is gather and enjoy; we manage the rest.

 

 

ORDERING DETAILS

Order Placement: To ensure the best quality and service, please place your orders at least five (5) business days in advance. While we will always try to accommodate late orders and revisions, not all requests may be possible.

Guaranteed Attendance: To best serve you, the guaranteed number of guests are required for all functions no later than three (3) business days prior to the event, subject only to increase and charged accordingly. The estimate attendance number three (3) business days will be confirmed as the guaranteed number unless we are notified.

Catering Hours: Amazon YVR is available during business hours, Mon – Fri, 7am – 7pm.

Outside Ordering Timelines: For requests outside ordering timelines or afterhours and weekend catering needs, will be reviewed and accommodated on a case-by-case basis please email canadacatering@amazon.com or call 236-308-6708.

Minimum Numbers: Catering Requests below the minimum order, will be reviewed on a case-by-case basis please contact us at canadacatering@amazon.com or call 236-308-6708.

Confirmation of Order: After we have finalized all the details of your event, you will receive a catering BEO (Banquet Event Order) for your review and confirmation. Please carefully review all the information on this order form for accuracy and completeness before confirming as this is the information we understand is correct for the event.

Changes: Any changes to a catering order need to be emailed three (3) business days in advance of the event. Please email canadacatering@amazon.com or call 236-308-6708 to cancel your event/order.

Cancellations: Cancellations must be made at least 24 hours in advance. Cancellation of events with 30+ guests must be made 48 hours in advance. Cancellations made inside the cancellation windows will require the invoice to be paid in full unless we are able to use the food items for other uses. Inclement Weather: In the case of inclement weather, we require a minimum of 12 hours’ notice for cancellations to avoid charges. Please email canadacatering@amazon.com or call 236-308-6708 cancel your event/order.

Catering Requests: received by email Monday to Friday, 9:00am-3:00pm, will be responded to within 24 hours. Outside of office hours requests will be responded to by the end of the next business day. Confirmation of your request will be sent within one (1) business day of receipt.

Catering Minimum: Our minimum catering order is $100.00 (not including applicable taxes) is required

Menu Pricing: All pricing is subject to applicable taxes.

Service Charges: Any service, staffing, and/or administrative charges listed are a compulsory fee for the administration of the function.  Service, staffing, and/or administrative charges are non-negotiable and are not considered to be tip or gratuity.  However, 95% of the service, staffing, and/or administrative charges will be evenly distributed among all non-managerial employees who directly provide services to guests. 

Inclusions: Delivery and pick-up are included in our pricing. All necessary serving utensils, buffet signage, buffet equipment, compostable cutlery, plates, napkins, and standard table linens are included. 

China, glassware, and flatware if required please consult the catering specialists for rental costs. Please email canadacatering@amazon.com or call 236-308-6708.

Catering Equipment: Unreturned/damaged catering equipment will incur a charge equal to the cost of replacement.

Set-Up Timing: Food & Beverage equipment (i.e., Buffet or Coffee Service) will be set up at a minimum of thirty (30) minutes prior to the confirmed event start time.

Service Timing: Food & Beverage service will be set for service a minimum of fifteen (15) minutes prior to the confirmed event start time.

Service Teardown: Food & Beverage items will start to be cleared away after two (2) hours after they have been served following Vancouver Coastal Health guidelines.  All set-ups will be torn down at the end of the event finish time.

MENU SELECTIONS

Custom Menus: Do not see something that aligns with your preferences, event theme, etc.? Reach out! We are happy to customize and tailor a menu to your style, goals, etc.

Customized Menus: are to be confirmed five (5) business days prior to the function date.

Substitutions: We reserve the right to make last-minute substitutions for food items that are not available due to season, product inferiority or supplier outages. We will notify you of any substitutions as soon as possible.

Vegan & Vegetarian Offerings: Our menus include a variety of vegan and vegetarian selections. If not notified a minimum of 20% of the menu will be vegetarian. Please inquire with our Catering Manager if you have any additional questions.

Ready to Go Containers: Vancouver Coastal Health does not permit us to provide any ready-to-go food containers for leftovers, and all food has to be removed two (2) hours after food service has started.

Allergen Alert: While we strive to provide allergen-free options, we cannot guarantee 100% the absence of allergens due to potential cross-contamination. If you have any concerns or specific dietary needs, please contact us at canadacatering@amazon.com or call 236-308-6708.

OUTSIDE FOOD & BEVERAGE

Compass will not provide food/beverage/services to accompany outside catering. Due to provincial health regulations, outside catering cannot be combined with in-house food & beverage services.

INVOICING AND PAYMENT

An account and a valid credit card are required prior to the event

Approved payment methods are a company issued p-card.

A credit card must be provided at the time of the booking, and the full payment will be processed within 24 hours after the event.

Final invoice will be sent within one business day following the event’s completion.

The requester is responsible for ensuring that the credit card limit is available to process charges in order to prevent any potential late charges.

BAR SERVICE

Selections: Compass One – Amazon Catering via our sister catering company Lazy Gourmet provides an excellent selection of beer/cider/wine, full selection of spirits as well as non-alcoholic and mocktail options

ADDITIONAL SERVICES + OFFERINGS

Linens: As a standard, we provide house linen for all food and beverage tables for full-service events. House Linens for guest tables can be provided at an additional charge. Specialty linen can be acquired upon requests. Linen service only is an additional $20.00++ per standard linen. Additional charges will apply for specialty linen.

Additional Décor and Rental Needs: In addition to our food and beverage service, we can assist with providing you quotes for all your event rental needs – from specialty linens to décor to floral and beyond. Please allow for 5 business days advance notice.

Space/Table Needs: Amazonians are responsible for reserving space and/or ordering their own tables prior to any catering delivery. Please complete by opening the Meeting Request Form link Meetings & Events Portal
